Shipping and Receiving Coordinator

Description: Shipping/Receiving Coordinator – reports to the Facilities Manager. This position has a cross functional role, working daily with the Shipping/Receiving Lead, the Mail Services Coordinator, and the Receptionist Lead. As such, this role will serve as a back up to the S/R Lead, the mailroom team, receptionist team, and will need to provide support to the facilities coordinators, as needed.

This position will coordinate with the marketing department, IT department, Facilities department in Shipping/Receiving and distributing of equipment and materials from suppliers to employees globally, while also supporting the mail service needs for the One California St building, and covering for the Receptionist when schedules require back up.

The S/R Coordinator will also assist the facilities staff, in maintaining the building’s fixed facilities, real property, and related assets. When assigned the S/R Coordinator will work directly with the HQ Facilities Manager to ensure facilities problems are identified and repaired quickly, will ensure that building management is delivering quality services, and will make sure that all internal customer demands are being met.

Responsibilities:

  • Manage the receiving, delivery, and shipping processes of all large shipments that are housed in the storage of the California St building, and Landmark Buildings.
  • Responsible for keeping S/R storage, organized and clean.
  • Establish good communication and work well with the various departments: Marketing, Office Services, Facilities, Security in making sure that all needs are met and that no shipment is turned away.
  • Partner with the Security department to ensure that all processes established are within company objectives.
  • Learn, understand, and apply the use of the SFDC application for task and case management to help with tracking and communication lines amongst departments.
  • Ability to multi task and provide back up help for the Mail room, Facilities and for the Reception areas.
  • Facilitate daily deliverables for internal SFDC employees’ requests, including furniture (tables, chairs, filing cabinets) and building requests (Temperature adjustments-HVAC, key duplication, lighting, etc).
  • Manage and administer ticket submittals for SFDC Workplace in Supportforce/Facilities.


Required Skills/Experience:
    Ability to: Plan, organize, direct, coordinate, and supervise work in the assigned functional areas of the basement and external deliveries; gather, assemble, analyze, and evaluate issues, data, and other information in order to draw reasonable and fair conclusions and make sound decisions; serve as a credible advisor to the HQ Operations Manager; maintain records and reports; communicate effectively, orally and in writing; establish and maintain cooperative working relationships. Maintains the internal Salesforce Workplace intranet ticketing system daily and completes open tickets in a timely manner with as little disruption to company daily operations. In addition to the basement ownership, this position will provide support to daily conference room table set ups and configurations to meet the needs of internal/external trainings and meetings.

    Qualifications:

  • Bachelor degree in related discipline preferred.
  • Preferable Warehouse/Space Management Experience
  • Computer Literate
  • Ability to contribute successfully to cross functional teams required.
  • Demonstrated organizational skills and ability to multi-task required.
  • Responsible for the delivery and placement of items, so must be able to comfortably lift 35 lbs.
  • Self starter: can make decisions on the spot
  • Handle self with minimal supervision
  • Must have a great can do attitude and willingness to do physical tasks to complete a job
