As a Sales Cloud Success Specialist, I work with customers every day to make sure they’re set up for success. What always stands out is how important data is to organizations, but how often this data isn’t being shared across the organization. That’s why my second tip for you today is how to automate this process across your organization.

After getting report types squared away and a few reports built, next on the fast-track list is automating the sharing of reports and dashboards with your team using Subscriptions.
I spoke with an admin last month whose sales director had tasked him with creating a report that would capture all deals won from the previous week, along with which sales reps were top performers. The information would be shared at the weekly directors’ meeting. Though users could access the report on demand, Subscriptions would allow them to automatically schedule a weekly refreshed report, and send it to the admin’s sales director — all without any user ever having to click the “Run Report” button.
Thanks to the latest Salesforce Spring ’18 release, dashboards can now be subscribed to right from Lightning Experience. Just like with reports, users can control when to schedule refreshes — daily, weekly, or monthly. Once the refresh completes, Salesforce sends an email with the dashboard.
As an admin, keep in mind that in order for your users to have access to reports and dashboards, and ultimately schedule them to be sent, each user must have the necessary permissions (that is, “Subscribe to Report” and “Subscribe to Dashboard”), as well as sharing access to each report or dashboard folder that will be subscribed to, which I can help with as my org’s admin. Remember, any report or dashboard saved in a user’s “Private” folder cannot be scheduled and shared with users other than the owner of the private folder. Always encourage your users to save reports they want to share in the public folder or in custom folders you have given them access to already.
