Now, those personal routines and preferences have carried over to the office. <\/p>\n\n\n\n<p><b>Examples of shadow IT include:<\/b><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">P2P file-sharing tools such as Dropbox<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Slack and Trello<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Skype<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Excel macros<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Bluetooth-based tools like AirDrop<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Messaging apps such as WhatsApp, Snapchat and Facebook Messenger<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Google Drive<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Personal email services<\/span> <\/li>\n\n\n\n<li><span style=\"color: var(--c-nero); font-family: var(--f-secondary); font-size: 1rem; letter-spacing: 0.0012em;\">Personal hard drives, laptops and smartphones<\/span> <\/li>\n<\/ul>\n\n\n\n<p>Today\u2019s businesses are grappling with how to mitigate the harmful aspects of shadow IT while still offering the freedom the workforce desires. After all, one-size-fits-all tech solutions are starting to fade into the shadows of the old world. The new SME is agile and flexible, and the new workforce wants technology that\u2019s tailored to their personal needs. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-why-do-people-use-shadow-it\"><b>Why do people use shadow IT?<\/b><\/h2>\n\n\n\n<p>Most workers use non-sanctioned devices or apps with the best of intentions. They are generally looking for more efficient, more effective methods of working, without having to wait for IT approval. In other words, they\u2019re finding ways to address their own unique pain points by using bespoke solutions. This is often done to address a gap between what IT is giving employees, and what\u2019s actually easiest and most effective.<\/p>\n\n\n\n<p>There\u2019s no doubt that shadow IT can be a powerful driver of productivity. After all, instead of having one unwieldy, centralised department that\u2019s responsible for rolling out company-wide solutions, employees can use whatever works best for them at that moment. Unfortunately, using unauthorised tools can have some serious drawbacks as well. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-are-the-risks-of-shadow-it\"><b>What are the risks of shadow IT?<\/b><\/h2>\n\n\n\n<p>By circumnavigating the purview of a central IT department, workers using non-sanctioned tools and systems are creating an alternate world of data \u2013 one that might be more vulnerable to cyber-attacks. In fact, a <a href=\"https:\/\/www.ibm.com\/downloads\/cas\/KDL0MBN0\" target=\"_blank\" rel=\"noopener\">Forbes study<\/a> shows that 21% of companies have experienced a cyber event due to the usage of unsanctioned IT resources. The same study shows that 46% of surveyed executives say that shadow IT makes it impossible to protect their data and systems at all times.<\/p>\n\n\n\n<p>But security is just one of the risks of shadow IT. By not having all their data in a centralised location, SMEs will struggle to provide their workers with trustworthy, real-time information. They may also run into problems with version control, phishing scams, regulatory compliance and the permanent loss of data. For example, what happens to mission-critical data that\u2019s been stored on personal devices once those workers leave the company? Perhaps even more worrying, if customer data is compromised, it could permanently damage your business\u2019s reputation.<\/p>\n\n\n\n<p>When thinking about the potential pitfalls of shadow IT, it\u2019s easy to see why so many organisations have banned the use of unapproved third-party apps.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-five-tips-for-leveraging-the-power-of-shadow-it-while-minimising-the-risks\"><b>Five tips for leveraging the power of shadow IT while minimising the risks<\/b><\/h2>\n\n\n\n<p><b>1. Teach<\/b>. Leverage <a href=\"https:\/\/www.salesforce.com\/uk\/products\/mytrailhead\/overview\/\" target=\"_blank\" rel=\"noopener\">on-demand training platforms<\/a> to turn the team into <a href=\"https:\/\/trailhead.salesforce.com\/en\" target=\"_blank\" rel=\"noopener\">Trailblazers<\/a> who understand the importance of cyber-security and data compliance. Make sure that your teams have a clear understanding of the difference between public, private and confidential data. Once data is defined and grouped, employees can be instructed as to where this data can be used. For example, perhaps it\u2019s fine for employees to use personal apps to record private data, such as their own notes, but business data must be limited to sanctioned devices and channels.<\/p>\n\n\n\n<p><b>2. Connect<\/b>. Solve pain points by <a href=\"https:\/\/www.salesforce.com\/uk\/products\/marketing-cloud\/data-management\/platform\/\" target=\"_blank\" rel=\"noopener\">connecting processes<\/a> and offering easy, sanctioned ways to back up and store data, access file-sharing tools, connect on social media and utilise video conferencing. When business processes are connected, the data generated from these tools and activities can be properly <a href=\"https:\/\/www.salesforce.com\/uk\/blog\/2022\/04\/centralise-sme-data0\" target=\"_blank\" rel=\"noopener\">secured in a centralised platform<\/a>, so SMEs can use it to fuel business intelligence. Ultimately, <a href=\"https:\/\/www.salesforce.com\/uk\/blog\/2021\/12\/data-management-drives-productivity.html\" target=\"_blank\" rel=\"noopener\">good data management and peak productivity<\/a> are intertwined.<\/p>\n\n\n\n<p><b>3. Communicate<\/b>. Have a company-wide brainstorming session. Find out what each worker\u2019s pain points are and how they currently address them. See if it\u2019s possible to integrate the consumer technology products that they rely on in a more secure way, or if you can <a href=\"https:\/\/www.salesforce.com\/uk\/blog\/2017\/06\/no-code-low-code-all-code-trailblazing-it-teams.html\" target=\"_blank\" rel=\"noopener\">create low-code or no-code apps<\/a> that can offer similar benefits.<\/p>\n\n\n\n<p><b>4. Transform<\/b>. If you\u2019re still using on-site legacy systems that aren\u2019t connected to the cloud, then consider whether your business might <a href=\"https:\/\/www.salesforce.com\/uk\/blog\/2019\/06\/8-reasons-for-undergoing-a-digital-transformation.html\" target=\"_blank\" rel=\"noopener\">benefit from digital transformation<\/a>. Digital transformation can help companies reduce IT complexity, enable better and more secure collaboration, unlock new business models, optimise their data governance and future-proof their business.<\/p>\n\n\n\n<p><b>5. Excavate<\/b>. Dig through existing shadow IT and centralise any mission-critical information you find so that it can be properly secured and leveraged. Eliminate anything that could potentially compromise the security of the business or put the company at competitive risk.
