Manual tasks slow down small teams, hindering efficiency at scale.

Sweet Potato Tec is small and skilled. It asks customers what they want to achieve and works backwards to set them up for success. To do that at scale, staff need to build strong relationships with prospects that convert into close working relationships with customers.

This created a number of technical challenges. The company needs clean, central data that’s up-to-date and actionable for lead nurturing, marketing, and project management. It needed to automate impersonal manual tasks and interactions, like first-line inquiry responses, so the team can focus on more complex and meaningful interactions without the company losing out on new opportunities. The sales team also needed insight into which leads are most likely to convert so they know where to focus their efforts.

In addition, Sweet Potato Tec wanted to launch a newsletter to send customers inspiring stories, news features, and case studies to keep the company front of mind and add value between interactions.

We’re very proud of our agent. It’s like a buddy for our sales team. It’s called our million-dollar agent because we can attribute a million dollars to it since it went live two years ago.

Sweet Potato Tec drives 34% conversion and million-dollar gains with Agentforce.

Known internally as the ‘million-dollar’ agent, Sweet Potato Tec uses an Agentforce sales development assistant to help the sales team with outreach and inbound lead management. Agentforce connects to Data 360 to pull insights from sales PDFs, customer websites, Salesforce CRM data, and product FAQs. It then automatically prepares outreach emails that sales reps can review or schedule Agentforce to send.

The agent also responds to inbound leads when someone fills in a form on the website. Prospects receive personalized responses with more information on relevant products and discounts. The agent contacts them up to three times, prompting them to book a call with the sales rep.

Across more than 1,000 processed inbound leads, the agent achieved a 9% overall zero-touch booking rate. If the prospect doesn’t respond, the lead is disqualified after the third attempt. This has led to a 34% increase in high-intent leads being passed to sales reps to nurture.

“We’re very proud of our agent. It’s like a buddy for our sales team,” said Swami Bala, Founder and Team Principal at Sweet Potato Tec. “It also helps with lead qualification. Research shows the chance of closing a deal increases by around 50% if you respond to a first inquiry within an hour. We can do that at scale with Agentforce. It also weeds out the leads that aren’t worth following up on, so our reps can have the most impact. It’s called our million-dollar agent because we can attribute a million dollars to it since it went live two years ago.”

Automated workflows give staff more time to interact with customers.

Sales reps aren’t the only team members supported by Salesforce. The team also uses a combination of native Salesforce features, Lightning web components, and custom automations to work more efficiently across its three verticals — advisory, implementation, and managed services.

For example, Sweet Potato Tec automated order activation. When a customer places an order, the workflow opens a case in Agentforce Service and assigns it to the fulfillment team. Whereas before, they manually created 10 cases per day, they can now focus on progressing the order and serving customers faster.

Project delivery and timesheets are also tracked in Salesforce, including the number of managed service hours a customer has used and how many they’re entitled to. If they go over their allowance, Salesforce generates a notification for the team to contact the customer.

“We’re completely revamping how we manage projects in Salesforce using Lightning web components,” said Sarav Muthu, Salesforce Practice Lead at Sweet Potato Tec. “It will drastically reduce the amount of time colleagues spend on data entry, which will make their lives easier and give them more time to serve customers.”

Connecting Claude and Apollo uncovers new insights.

Sweet Potato Tec uses Claude extensively, and thanks to the Model Context Protocol (MCP), the team easily connected it to Salesforce. It’s used for all types of analysis, from daily executive reports to fast answers on how many hours a customer has left on their contract.

The team also uses the account-based marketing tool, Apollo, extensively to research prospects looking for advisory services. This is integrated with Salesforce, and an automated flow helps sales reps identify and start conversations with high-intent prospects.

“We’ve mapped our ideal customer, and Apollo helps segment leads and route the right ones to sales reps. The Salesforce integration helps to pull their contact details into the CRM, which can be difficult to do manually,” said Bala. “A colleague once spent seven days trying to track down a prospect’s contact details before we had Apollo. Today, he’d be able to get that information right away and capture it in Salesforce to start converting the lead.”

“Connecting our most-used apps to Salesforce saves time and unlocks richer insights.”

One team member creates a monthly newsletter in just four hours.

To keep in touch with customers, the company launched a newsletter called The Sweet Spot. Using email marketing from the Salesforce Starter Suite, a monthly email goes out to a segmented list of contacts. It takes one team member an hour to create, 30 minutes to get it reviewed and approved, and it goes out later that same day. Sweet Potato Tec partners with The Bright Click to manage end-to-end marketing. The monthly newsletter is opened by 73% of recipients, with a 10% click-through rate and a 0.24% unsubscribe rate.

“The newsletter has been a real success. Customers love it, and it’s easy to keep them informed and interested in our work.”

Dashboards help track projects and reward success.

Sweet Potato Tec uses Salesforce dashboards to manage leads and projects, make executive decisions, and celebrate team wins. “We created a rewards dashboard to give credit to colleagues for good work,” said Muthu. “Staff can nominate themselves or a colleague to be included in the dashboard.”

In the future, the company is planning to use predictive analytics to create dashboards that give it a competitive edge.

With Salesforce, Sweet Potato Tec gets maximum power at a smaller price point. The drag-and-drop ‘low code/no code’ development helps the team to build out custom functionality and automation using prebuilt objects and components.

“Technology is the last thing we think about. With Salesforce, we can focus on recruiting the right people and putting processes in place, which is how it should be,” said Bala. “When those priorities are the other way around, businesses end up losing money.”

The Salesforce Starter Suite gives Sweet Potato Tec more than just access to the tools it needs to be efficient at scale. It also welcomes the company into an ecosystem of experts, innovation, and collaborators. The company cites its shared values as another differentiator, and like Salesforce, it pledges 1-5% of its time to help nonprofits on a pro bono basis.
